“Offline” is usually a connection symptom
The message does not always mean the printer is broken. A changing network address, weak wireless signal, sleeping printer, stalled print queue, incorrect Windows port, or driver left behind after an update can all make an available printer appear offline.
Start with the printer and network status
Confirm that the printer is awake, connected to the expected Wi-Fi name, and showing no paper, ink, toner, or hardware error. Restarting the printer can clear a temporary condition, but repeated failures point to a configuration or signal problem that should be corrected.
Why reinstalling only works temporarily
Removing and adding the printer may create a new connection that works until its address changes again. A reliable fix may require a reserved address, correct printer port, manufacturer driver, better Wi-Fi coverage, or a wired connection for a shared office device.
Scanning and multi-computer problems add another layer
Printing and scanning often use different software and network discovery methods. One computer may print while another cannot scan. Test each required function and user rather than assuming one successful test proves the full setup works.
When on-site service saves time
If the printer repeatedly disappears, affects several computers, or must work for a business, an on-site review can test the printer, router, Wi-Fi, drivers, queue, and scan workflow together.
